AI Processing Notice
How ATS Hiring uses AI to process résumés and applications — for job seekers and for employers.
Last Updated:
What we process
When you use ATS Hiring, we process the content you give us to run the checks you ask for: résumé files and résumé text you upload or build, the answers you provide in job applications, career-profile details you add or import, and the job descriptions employers publish. We also keep the reports and scores those checks produce, so you can come back to them.
How we use AI
AI models read your résumé or application and score it against ATS-style criteria and, when you choose a job, against that job's description. They extract structured details from your documents (like skills and experience), suggest improvements, and help match jobs to profiles. AI output on ATS Hiring is decision support, not the decision: results are always shown to a person — you, or the recruiter handling a role — and the platform never rejects an applicant automatically.
If you are an employer
When your company receives an application through ATS Hiring, we process it with AI on your behalf: we extract structured details from the CV and score the application against your job description so your team can review it. To do that we send the CV text and your job description to our AI provider, currently OpenAI. Scores and extracted details are stored with the application in your workspace. These results are decision support, not decisions — the platform never rejects an applicant for you, and a person on your team makes every hiring decision. You decide who in your company can open applications, and you are responsible for how your company uses candidate data. The Data Processing Terms in section 3b of our Terms of Service set out what we do for you as your processor.
AI providers
To run these checks we send the necessary content to a third-party AI provider (currently OpenAI) under its business terms. We send only what the requested check needs, and we do not use your content to train models of our own. OpenAI processes the text in the United States; our Privacy Policy explains what covers that transfer and lists every company that processes data for us.
Retention
Reports, scores, and extracted details stay in your account so you can revisit them. Guest ATS scans are deleted automatically after about 30 days. If you delete your account, your data is removed as described in our Privacy Policy, with a small set of records kept only where genuinely needed — for security, billing, abuse prevention, or legal obligations. Our Data Retention and Deletion page sets out these retention rules in one place.
Your choices
You decide what to upload and which checks to run. We ask for your consent to AI processing when you create an account and before AI-assisted applications. If you no longer agree, you can withdraw your consent, stop using the AI features, or delete your account from Settings at any time. Withdrawing consent does not undo processing that already happened, but you can ask us to delete the results it produced.
